5 Tips to Get the Most Out of Conferences and Convenings
There is no shortage of conferences and convenings. Chances are that you have an upcoming conference or group event on the schedule. But how does one make the most of these gatherings? Here are five tips to help you maximize the moment.
Book at Least One Media Event While You’re in Town
If you’ll already be in the area, ask your public relations team to book you for a print, podcast, radio, YouTube or television appearance. Or at least try. Your pitch and appearance need not necessarily be linked to the conference, but rather on the work you’re engaged or spearheading. This is a low-hanging fruit opportunity.
Review Conference Attendees and Set Up Short Meetings in Advance
Many conferences now include an app for participants. Review who will be there and consider making a note to connect with funders, partners or colleagues. The key is to set up the engagement in advance. This will ensure nothing is left to chance. You may likely have spur of the moment connections, and those are bolstered by pre-arranged meetings.
Promote the Event
We know that sharing your story is part of the work. Consider promoting the event or your participation at the event. This could include social media promotions, an advisory to local media or a message to your email or SMS list.
If your organization is hosting or sponsoring the event, consider advising the event to local media or journalists attending the event. Contacting the right people at the right time can help you secure coverage before, during and after the event. Even if you’re just participating in a panel or specific event, it can be beneficial to spread the word to attendees and local media. If you’re participating in a panel, remember to help drive attendance at your session. Think about how you can connect with other attendees ahead of time to encourage turnout.
Capture Content
Convenings are prime opportunities to gather all kinds of content, from pictures and videos to recordings for podcasts, to quotes and statements. If you have the capacity, consider bringing along a member of your communications team to capture content.
Prepare a Post-Event Reflection Piece
You’re attending the event, but your network or base may not. Consider bringing them along by writing a reflection piece that summarizes key findings and ideas. Share what you learned and how you plan to implement what you’ve learned. This content will allow your base to feel more connected with your work, and it will allow you to bring them along, even if not physically. Your reflection can be shared via video, blog or newsletter communication.
